Venues

Arctic Frontiers 2018 will be based at 3 of the main hotels in Tromsø centre.  All hotels are within 5 minute walk of each other.

• Clarion Hotel Edge – Arctic Frontiers Policy and Business (Monday -Wednesday)
• Scandic Ishavshotel – Arctic Frontiers Science (Tuesday – Thursday)
• Radisson Blue – Arctic Frontiers Arena (all week)

Other venues around the city will be used for some side events and Arena activities

Entitlements

We have change the structure of registration so you can register for each day seperately. Each day is inclusive of all of the main program activities and side events.  We have also provided a reduced registration for those who only wish to attend the science program and side events.

The daily registration fee includes access to all conference sessions (Policy, Business and Science) for the day you have selected during registration.  It also includes all the side events occuring on the days you have paid for.

The daily science only registration fee gives you access to the science sessions on the days you have selected during registration.  It also includes all the side events occuring on the days you have paid for.

Arctic Frontiers receptions must be booked separately in the registration form.

Lunch is NOT included in the price. You can book a buffet lunch at the Clarion Hotel the Edge (Monday to Wednesday) or the Radisson Blu Hotel and Scandic Ishavshotel (Tuesday to Thursday) in the registration form. You will also be able to pay for the buffet lunch at the hotels each day.

Payment options

Payments can only be made by Credit or Debit Card.

Accommodation

Delegates are requested to take advantage of special rates for hotel accommodation. To book accommodation, please complete the registration form.  No hotel deposit is required and full payment for accommodation must be made at the hotel on departure.

Please note that hotel rooms in Tromsø in January can fill quickly and we advise you book as soon as possible.

Arctic Frontiers cannot guarantee hotel accommodation and hotel bookings are not final until after outstanding registration fees are paid in full.

Cancellation policy

Having completed the registration form, the applicant accepts responsibility for full payment of the registration fee without prejudice. Registration is binding. In the case of cancellation, the registration fee is not refundable.

Cancellation of accommodation may be made free of charge before 21 December 2017, after this date your credit card will be charged the full amount if Arctic Frontiers is billed for the room.

If we do not have your credit card information, an invoice will be sent via e-mail.

Payment of accommodation must be settled directly with the hotel upon departure.  All cancellations or changes must be in writing to VICAN Group AS, preferable by email to arcticfrontiers@vican.no.  Late arrivals (later than 16.00) must inform VICAN Group AS at least 24 hours before your booked arrival date.

If you have a no-show at the hotel, you will be charged the full amount for accommodation. Arctic Frontiers will issue an invoice including an additional administration fee of 250 NOK.

Disclaimer

In the event that any services become unavailable for any reason, the Arctic Frontiers Secretariat, its appointed agents and other sub-contractors will make every effort to supply alternatives of equal standard and value but no responsibility can be accepted for failure to provide the specific services. The Arctic Frontiers Secretariat, any member and/or members of its committee and its appointed agents or either subcontractors, act on the basis that they attend to the arrangements of Arctic Frontiers for the convenience of the participants. They perform all tasks on condition that the Arctic Frontiers Secretariat any member or members of its committee and appointed agents or subcontractors, cannot be held responsible for any loss, damage or inconvenience (however arising) experienced by the delegates of Arctic Frontiers.

Cancellation of the conference

In the event that the Arctic Frontiers cannot be held or is postponed due to events beyond the control of the Arctic Frontiers Secretariat (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the Arctic Frontiers Secretariat, the Arctic Frontiers Secretariat cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, financial losses, etc. Under these circumstances, the Arctic Frontiers Secretariat reserve the right to either retain the entire registration fee and to use it for a future conference, or to reimburse the delegate after deducting costs already incurred for the organisation of the conference and which could not be recovered from third parties.
